Department Summary

The Graduate School is the administrative office with ultimate responsibility for policy and procedures relevant to graduate education and graduate students. Its programs and services affect nearly 4,000 graduate students and almost 90 graduate degree programs. Position Summary

The Events Coordinator is responsible for the design, planning, promotion, execution, and evaluation of events including workshops, seminars, guest lectures, conferences, meetings, and receptions for the Graduate School. The Events Coordinator is responsible for leading event projects from start-to-finish in coordination with Graduate School leadership and stakeholders. This includes assessing necessary service and operational needs for events such as space needs, scheduling rooms and space, planning and securing catering, determining audio-visual requirements and ensuring complete setup, advertising and promoting events, managing RSVP lists, and directing the design and production of event materials such as name tags, brochures, and packets. The Events Coordinator will also be responsible for ensuring all events are in compliance with institutional policies, procedures, and rules, and explaining policies, procedures, and rules to others. The person in this position will be on-scene during events to manage and direct all event operations from opening through clean-up and closing and to ensure quality delivery of the event. The Events Coordinator may provide lead work and oversight.

The Events Coordinator will be responsible for developing an evaluation and post-event review process to determine event quality, value, and overall success. The Events Coordinator will make recommendations to Graduate School leadership about future programming based on the results of the evaluations.

The position will also direct the design of promotional materials and communications around events including but not limited to web content, social media, MailChimp, and listserv messaging. The person in this position will manage multiple projects at the same time. Some events repeat each year or term, and others will be offered a single time.

Work Schedule

The employee will keep regular working hours, except when events fall outside of those hours.

Minimum Requirements

• Three years of office experience which included two years at full performance level and experience generating documents; and

• Lead work responsibility or coordination of office procedures.

Professional Competencies

• Ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.

• Ability to communicate effectively (in writing, in person, on the phone) with individuals from diverse backgrounds and cultures.

• Ability to work collaboratively in a team environment and also work independently.

• Proficiency with word processing, mail merge, social media, web publishing, meeting registration programs (Qualtrics, Google form, etc.), and graphics programs.

• Excellent organizational skills and attention to detail.

• Ability to stay within a budget on projects and events.

Preferred Qualifications

• Two years of experience organizing and executing events.

• Experience coordinating, organizing, or facilitating multiple events.

• Demonstrated creativity, problem-solving skills, taking initiative, judgement, and on-the-spot decision-making.

• Experience working in a higher education institution and/or with graduate students.

• Experience in project management and using project management software (Trello, Asana).

• Experience with communications projects that included print, graphics, writing, video, and other multimedia modalities.

• Graphics design experience, or experience creating promotional materials.

• Experience setting up and troubleshooting AV equipment.

• A Bachelor's degree, preferably in a field related to marketing, communications, design, or public relations.
