This position exists to perform lobby receptionist, overall administrative support for various functional areas, including Safety, Toward Zero Death and Planning; assist with processing accounts payable for District 1 Duluth for various work areas and provide backup support for Admin. Secretary.
Minimum Qualifications
To qualify, Office & Administrative Specialist, Intermediate applicants must demonstrate all the following:
Data entry sufficient to scan and update information into spreadsheets and databases.
English (speaking and/or writing and/or reading orally) sufficient to speak, read, understand, and respond to written and spoken communications with internal and external customers; and to file and retrieve information based on content, using alphabetical filing practices.
Knowledge of computer skills; databases, spreadsheets, word processing and the ability to manipulate computer software to effectively create, modify and deliver documents, letters, memos, data, and tables.
Customer service skills on the phone, in person and online to provide effective general office support and resolve routine customer issues.
Strong administrative management skills sufficient to maintain manual and electronic files for efficient organization and retrieval of information.
Math sufficient to: add, subtract, multiply and divide whole numbers, fractions and decimals; calculate percentages; and use simple formulas which will be used to calculate and reconcile information.
Preferred Qualifications
One or more years using MS Office or equivalent software in a front lobby/receptionist position.
One or more years processing accounts payables.
Experience in SWIFT (State Wide Integrated Financial Tools) accounting system.
Working knowledge of MnDOT financial structure, budget and cost coding
