Job Description

AMI Coordinator is a member of AMI (Allergan Medical Institute) team who has a critical role in coordination and organization of AMI training events for HCPs in UAE, including hands-on trainings, CS (Clinical Specialist) facilitations and AMI events (standalones, new product launches, congress events). AMI Coordinator works on content creation/updates and localization for AMI branded materials.

KEY DUTIES AND RESPONSIBILITIES:

  • Working with local agency(ies) to secure localization and approval process of all new video resources for AMI (based on inputs from Meeting Planner & AMI Lead)

  • Logistical management of virtual activities

  • Involvement in localization and creation of local AMI materials – working with AMI Lead

  • Preparing documentation and running approval process following AMI protocol and compliance requirements

  • Work on overall logistics for AMI Events

  • Manage Veeva approval process for invitations and agenda and sending to HCPs

  • Liaise agency(ies) on preparation and localization of all materials which will be used during particular event based on the instructions from Meeting Planner & AMI Lead (meeting visuals, booth, booklets, brochures.)

  • Working with agency(ies) on preparation and localization of all materials which will be used after event based on the instructions from AMI Lead (feedback survey, certificates etc.)

  • Contracting with agencies and monitoring payments

  • Final checking, scanning, uploading on the dedicated share point folder and closing of the documentation after each event

  • Training volunteer logistics management (creating volunteer data base, arranging volunteers for trainings)

  • On-site assistance with hands-on trainings and other AMI Events. Preparing materials, collecting, and tracking samples, taking photographs.

  • Sending certificates and evaluation forms post-event. Providing analytics on feedback.

  • Arranging speaker logistics (such as tickets, accommodation)

  • Regular/daily communication with Clinical Specialists and accountability for ordering and monitoring previously approved FoCs products for clinical facilitations (from customer service or distributor)

  • Responsible for regular monitoring of compliance process for clinical facilitations, including final checking and closing of the documentation after each facilitation (previously uploaded by CS on the dedicated share point folder)

  • Managing localization (w. local agency) and Veeva approval process of all new CS materials produced by INT team or created locally (based on alignment with AMI Lead)

Qualifications

  • Emirati National with Family Book

  • Successful completion of relevant Degree qualification

  • Business Administration - qualification preferred

  • Working in a flexible team environment supporting Senior Management and their teams

  • Experience in congress/events, meetings management and in agency management

  • Excellent verbal, written and interpersonal skills, fluency in English, additional languages desirable

  • Excellent computer skills and proficiency with Microsoft Office products

  • Excellent organizational and co-ordination skills
