Paychex FMLA Leave Administrator - PEO in Des Moines, Iowa

Overview

Develops and provides day-to-day operational administration of comprehensive employee disability case management and Return to Work program in accordance with established quality and timeliness measures. This includes, but is not limited to, short-term disability, long term disability, state and federal Family Leave, Americans with Disabilities Act (ADA), the Paychex Extended Leave Policy, military leave, personal leave, workers' compensation, and Travel accommodation requests. Ensures legal compliance and limits organizational liability.

Responsibilities

  • Engages in interactive conversations with applicants/employees, obtains and reviews medical documentation, coordinates with managers/supervisors, and partners with legal and Employee Relations Managers, when necessary, to manage Americans with Disabilities Act accommodation requests, including requests for leave from work and changes to the job.

  • Analyzes the job description and job demands and works with applicants/employees to determine what possible accommodations exist and whether or not a reasonable accommodation can be provided that will enable the individual to participate in the application process and/or to perform the essential functions of the position. Utilizes resources such as the Job Accommodation Network to make effective accommodation determinations.

  • Determines whether a proposed accommodation is effective and reasonable or poses an undue hardship on Paychex to enable the individual to participate in the application process and/or to perform the essential functions of the position.

  • Selects and implements an accommodation that is reasonable and most appropriate for the situation and communicates the accommodation to the applicant/employee and his/her supervisor to enable the employee to work.

  • Participates in the daily administration of leave of absence policies (LOA)/procedures to ensure accurate benefit administration. Utilizes various Business Objects reports to manage case load, for auditing and to identify trends. Coordinates system updates related to time off tracking, LOA employee and supervisor communications, resource tools, and check lists. Enters and maintains LOA data in the appropriate databases to ensure compliance with applicable laws and policies.

  • Participates in projects to increase productivity through process improvement. Builds relationship with the Disability and FMLA vendor to ensure performance standards are met and identify process improvement opportunities that will increase the customer service experience for employees and leaders as well as create efficiencies for each organization. Proactively partners with the safety and ergonomics team to ensure awareness and early intervention/prevention to decrease injuries and durations. Collaborates with Benefits team by providing leave/ADA input to promote existing benefit programs that facilitate stay at work/return to work initiatives in an effort to reduce claim durations and frequency.

  • Establishes effective working relationships and communicates regularly with disability specialists, benefit specialists, safety team, Employee Relations Managers, legal, payroll team, HR Data team, employees, Paychex managers/supervisors, and external third party STD/LTD/FMLA and Workers’ Compensation vendors to effectively manage employees’ absences.

  • Remains up to date on applicable federal, state, and local regulations to ensure the company is compliant, including state and Federal Family Medical Leave Acts, State Workers’ Compensation laws, USERRA, Workers’ Compensation, ADAAA, GINA and HIPAA.

  • Assists in training managers and supervisors on Return to Work programs, including processes, legal requirements, availability of modified duty, and management of employees’ disability to encourage early return to work opportunities when available, reduce legal exposure, assist with business planning and avoid late or incorrect payments to employees.

  • Maintains employee communications including all letters, intranet sites, the employee handbook and vendor communications to ensure material is current and compliant with company policy and applicable laws.

  • Strong decision making, verbal and written communication, problem solving, and analytical skills. Negotiation skills that focus on stay at work/return to work strategies.

Compensation

In the spirit of pay transparency, we are excited to share that the starting base pay range for this position is $17.97 - $28.24/hourly. Please keep in mind that this range is the base pay only and does not consider other components that make up the total rewards package
