FirstService Residential Assistant Community Association Manager in Daytona Beach, Florida
Turn on your Island Charm... Latitude Margaritaville Daytona Beach is looking for an Assistant Community Association Manager to join our team!
Purpose:
The Latitude at Daytona Beach Assistant Community Manager assists in the management of properties in accordance with company policies, procedures and standards. This individual will develop knowledge and skill in the areas of lease administration, income/expense management and administration, physical facilities management, and resident relations.
Key Responsibilities and Accountabilities:
- Acquires and maintains current knowledge of state regulatory agency statutes and each client’s community’s documents, policies and procedures.
- Respond to emails posted to general HOA mailbox in a timely manner. Forward emails to Lifestyle, Compliance, etc. Forward escalated emails to management if unable to be resolved.
- Post checks via Clickpay for extra RFID & Fob payments.
- Prepare forms for security deposit checks and money orders from residents to be sent to corporate via UPS.
- Schedule post inspections for Jeff Appleford on extended driveways, patios, lanais, and pools.
- Prepare paperwork for security deposit refund request after post inspections via Zendesk.
- Review architectural applications in Smartwebs prior to being sent for approval; verify all correct documents are uploaded. Notify the homeowner if there is any information missing and request that they send in the necessary documents for a complete application.
- Send out approval/denial/require additional information letters to the residents once have been reviewed by the board.
- Update Closing Checker report weekly, with new sales and resales. Email to Corporate on the 3rdof each month.
- Review monthly report on all assessment delinquencies. Send an friendly reminder notice via email.
- Activate RFID transponders and key fobs when necessary.
- Update Mailchimp as necessary.
- Prepare and submit late fee waiver via Zendesk as requested.
- Assist and train residents on how to use the LMDBHOA website.
- Assist and answer questions from residents who come into the office for assistance.
- Acts as Brand Immersion liaison. Communicates with Managers to ensure all new employees are signed up for Brand Immersion. Holds the Margaritaville Pins and lanyards. The lanyard is given out a Brand Immersion with the Sailboat Pin.
- Acts as Office Manager and ensures proper staff coverage.
- Oversees the Customer Service Coordinators and ensures the new owner/resale process is conducted timely and efficiently.
- Prepares all Estoppels for new sales and ensures the CAM signs off in a timely fashion.
- Ensures all Customer Care calls are responded to as soon as possible.
- Works with Compliance Coordinator to ensure all compliance violations are being processed in a timely manner.
- Assumes all other duties and responsibilities as directed by Community Association Manager.
Technical competencies:
Education/Training:
- Bachelor's degree (B.A. or B.S.) in Business or related field from a four-year college or university, or equivalent combination of education and experience.
- Florida Community Association Manager license.
Experience/Knowledge/Abilities:
- Must possess strong managerial background.
- Two (2) years of experience as an on-site manager managing the property or building operations, such as staff and service contracts, resident retention and resident improvements is preferred.
- Strong working knowledge of customer service principles and practices.
- Ability to read, analyze, and interpret technical procedures, leases, regulations or documents with a similar degree of complexity.
- Strong interpersonal skills.
- Computer literacy: Proficiency and working knowledge of Microsoft Office Applications.
- Strong customer service and interpersonal skills required.
Special Requirements:
- Standing, sitting, walking and occasional climbing.
- Required to work at a personal computer for extended periods of time.
- Talking on the phone for extended periods of time.
- Ability to detect auditory and/or visual emergency alarms.
- Ability to work extended/flexible hours and weekends based on project requirement.
- Driving when necessary.
- Ability to respond to emergencies on a timely manner.
- Strong organizational skills
- Strong written and verbal communication skills
- Excellent word processing, mathematics and computer skills required
- Have knowledge of and experience in using Microsoft Office products (Word, Excel, Powerpoint, Publisher)

Physical Requirements:
- Capable of working extended hours, to include evenings, weekends and holidays as necessary.
- Able to see well enough to read faint or partially obscured writing or painting, with corrective lenses if needed.
- Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, to include the exchange and receipt of information over the telephone.
- Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying and moving objects that can weigh up to 25 lbs. This movement can occur throughout the day. Must also be able to climb several flights of stairs if necessary.
- This position will alternate between working indoors in a controlled climate and with proper lighting, to an outdoors setting with variable climate and lighting.
- Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
- Must be able to work in small and confined spaces for extended periods of time.
- Must have finger dexterity for typing/using a keyboard.
Environmental Requirements:
- Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances. For safety reasons, employee must remain alert to working conditions and aware of safety, health, and environmental concerns.
- Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.

Compensation/Work Schedule:
- $50,000 - $60,000 annually
- Monday - Friday, 9am - 5pm
- As a full-time exempt associate, you will be eligible for full comprehensive benefits to include your choice of multiple medical plans, dental, and Vision. In addition, you will be eligible for time off benefits, paid holidays, and a 401k with company match.
- Occasional travel may be required to attend training and other company functions.
