Job Description

Your Team

The Project Planning Manager will lead the pre-construction life cycle of a home. This will include managing Starts Coordinator(s) through the starts process from prestart to construction start. This position will also work closely with members of the Sales, Construction, Land Development, and Executive teams to plan the opening of new sections in master planned communities and provide regular updates to executive and management teams on the status of starts continuity.

Your Key Deliverables

  • Lead the starts team in the completion of permit applications to municipal authorities, utility applications, and architectural control approvals as follows:

  • Order, receive, and QC various documents required for permit.

  • Assemble permit applications and submit them to municipalities.

  • Distribute municipal comment reports to the starts and architecture team.

  • Assemble, submit, and gain architectural control approval for master and site-specific plans

  • Request checks and apply for utility account setups.

  • Assemble permit and house folder on BuildPro

  • Ensure team members maintain up-to-date information on the starts log.

  • Acquire, organize, and archive necessary land development and infrastructure documentation for new communities.

  • Remain up to date on code and ordinance changes and communicate to affected teams

  • Lead weekly starts meeting

  • Update construction, sales, purchasing, and design teams on the status of jobs in the prestart and permit process

  • Prioritize start order and volume based on job status and field capacity

  • Assign start dates for jobs in all communities

  • Train and lead Starts Coordinator(s) in support of the construction team

  • Point person for questions from the construction team related to permitting and architectural control approvals.

  • Assist construction team with payment of reinspection fees.

  • Point person for BuildPro cloud storage management and access

  • BuildPro Administration

  • Research all errors on the ISR and remedy them to ensure accuracy.

  • Monitor alerts and pending EPOs for issues or errors, and report to the manager when training is needed.

  • Clear rejected EPOs that are older than 30 days.

  • Facilitate template changes requested by management.

  • Assist the center-led team in getting associates proper Build Pro logins and security roles.

  • Help set up new Communities in Build Pro

  • Update Build Pro start dates

  • Manage BOX scheduling and Multifamily templates

  • Help train existing and new team members on Build Pro

  • Monitor and maintain Build Pro reporting

  • New project coordination

  • Attend Land Development Review meetings for new projects and provide housing permitting & starts related feedback

  • Communicate and resolve issues related to land development directly with land development team members and civil engineers.

  • Coordinate the rollout of starts in new projects with team members from land development, sales, construction, purchasing, architecture, and executive team.

  • Existing project continuity

  • Coordinate ongoing starts continuity with team members from sales, purchasing, architecture, and construction.

  • Starts forecasting

  • Plan and execute starts in multiple projects to successfully meet business plan

  • Maintain accurate data on permit timelines within multiple municipalities

  • Quickly adjust to unforeseen challenges to starts plan and/or revisions to business plan requirements.

  • Maintain accurate information and updates for operation meeting agendas

  • Attend monthly operations meetings and present information on the status of permitting & starts to executive and management teams.

  • Present solutions-based options for overcoming risks and barriers to meeting starts goals.

  • Organize starts team objectives to meet business plan for starts and launch of new projects.

    Must Haves

  • 5+ years experience in a construction-related field

  • 5+ years permitting/starts experience required.

  • Proven ability to train and lead teams.

  • Excellent communication skills with emphasis on diverse and multi-leveled audiences.

  • BuildPro experience required.

  • Ability to interpret municipal requirements for permitting and inspection with limited supervision.

  • Ability to read and interpret construction plans and other related documents.

  • Experience in identifying and implementing procedural improvements.

  • Highly organized team player who is able to multi-task
