Position Description: Receptionist Division: Administration Reports to: Child Protection Program Assistant Worksite: Child Welfare Department Work Hours: M-F, 8:OOam to 4:30pm LLBO Status: Non-exempt Safety Sensitive: Yes License/Certification Requirements: Valid MN Driver's License, current insurance or be insurable is required. Summary: Responsible for general office management, preforming secretarial support for the Child Protection Program and being the central contact for visitors to the Child Protection Program. Duties/Responsibilities: Become knowledgeable of the Social Service Information System (SSIS) and assist with data clean up as needed. Administer alcohol and drug screens. Delivery of mail and/or correspondence. Respond courteously to the public when answering phones and greeting visitors in the office. Refer incoming calls to appropriate staff or community resource. Inform staff as visitors or client appointments arrive, and direct visitor to appropriate office upon staff approval. Record and distribute messages to appropriate staff. Assist in the preparation of reports as needed. Track staff leaving/returning to the office. Prepare letters, memos, and other necessary documents for staff. Send and monitor all MIS tickers and Facility Maintenance work orders. Assist with special projects as needed. Keep waiting and meeting area clean and free of hazards. Meet deadlines and prioritize workload. Work effectively with minimal supervision. Support and maintain sensitivity to Native American culture, lifestyles, and values. Travel in and out of the state as needed. Attend program activities outside normal working hours as necessary. Attend all mandatory meetings and trainings as required. Maintain a high degree of confidentiality and professional ethics at all times. Understanding and sensitivity to Native American culture. Adhere to all applicable data privacy laws. Adhere to policies governing staff conduct. All other related duties as assigned.
