Purpose of the Job

To provide a comprehensive and flexible administrative support service to the Business Unit Leader and Business Development Manager.

Key Responsibilities

1To assist with all sales opportunities for the Business Unit. Supporting the Sales Team throughout the sales process

2Ensure the completion of all Pre-Qualifying Questionnaires for the Business Unit

3To assist in the production of supporting Sales Literature, including (but not limited to), ITT, RFP, RFI and sales brochures

4Arranging all sales calls with Senior Team members on an adhoc basis

5Work with our Sub-contractors and Business Development Manager to ensure the best price for all sales opportunities

6Support of Mobilisation as and when required

7Ensuring business policies and processes are effectively communicated, and implemented within the Business Unit.

8Ensure the provision of healthy and safe working conditions and that both clients and Company health and safety policy and process is effectively implemented across the Business Unit.

9Arrange all Contract Review Meetings throughout the year for all Contract Managers, Area General Managers and Business Unit Leaders

10Completion of Business Unit Review Pack each month ahead of Business Unit Review

11Management of all QHSE online reporting (to include Hazards, SmoWP, Audits)

12Completion of Audit Schedule each year

13Tracking of all holidays and sickness for Senior Management Team on behalf of Business Unit Leader

14Ensure staffing structures on all contracts are updated when requested.

15Adhoc event management upon request

16Diary and Email Management for Business Unit Leader

17Adhoc Travel arrangements for Business Unit Leader

18Working with other Operational managers to ensure the collaborative development of the business, effective team working, and support to colleagues.

19Promoting and maintaining the core Values of CBRE Managed Services.

20Provision of guidance, advice, coaching and support to all other Business Unit Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward.

21Delivering effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and ad-hoc reporting and other publications, as appropriate.

22Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential.

Accountabilities

1Reporting to a CBRE Managed Services Business Unit Leader and Business Development Manager

2Accountability to the CBRE Managed Services functional heads, as appropriate.

3Accountable day-to-day to the relevant team members

Key Skills

1Good knowledge of Business Unit and wider CBRE

2Strong communication skills, both verbally and written

3Provide accurate administration of all paperwork generated at Office level

4Highly efficient in the use of Microsoft Outlook, Excel and Word

5Work within a busy office environment, and support office teams in order to ensure the smooth running of day-to-day activities

6Find and obtain information and documents quickly

7Strong numeracy skills.

8Excellent attention to detail

9Quickly learn about new in-house systems

PERSON SPECIFICATION

Education

[Essential]Good basic education to GCSE (or equivalent standard), which will include an English and Maths qualification.

[Desirable]Higher educational qualifications to A level/HNC/D would be beneficial.

Training

[Essential]Very proficient in the use of Word, Excel, Access and PowerPoint.

Experience

[Essential]Experience of a similar role in a medium-sized business.

Well-developed communication skills enabling the individual to work with Senior Managers, clients, suppliers, and staff of all levels and abilities.

Aptitudes

Excellent command of the English language demonstrated through good verbal and written communication. Must be detail conscious, accurate and methodical in approach. Strong organisational and communication skills Able to work systematically and use own initiative. Able to work on more than one task at any given time. Must demonstrate strong interpersonal skills and be able to work as part of a team as well as independently.
