  • Your New Role :

As a Technology Intake Coordinator, you will serve a pivotal role within our Enterprise Technology department, specializing in managing the intake, assessment, and initial routing of technology requests across the company. This position requires a highly organized and proactive individual who can collaborate with diverse teams to ensure streamlined and efficient technology intake governance . You will be instrumental in ensuring that technology requests are handled efficiently and effectively, contributing to the overall success of the Technology department and the company. Your strong organizational skills, attention to detail, and ability to collaborate with others will be critical to your success in this role. The ideal candidate will possess a deep and broad understanding of technology systems, tools, services and processes, coupled with exceptional communication and prioritization skills, if you are passionate about technology and enjoy working in a fast-paced, dynamic environment, and want to be able to broaden your own technology knowledge we encourage you to apply for this exciting opportunity.

Your Role Accountabilities:

  • Intake Management: You will be responsible for managing the intake process for technology requests, ensuring that all incoming requests are logged, categorized, and prioritized appropriately.

  • Assessment: You will evaluate incoming technology requests to determine their feasibility, urgency, and resource requirements, ensuring that all necessary information is gathered for further evaluation. Evaluating new intake requests against existing ones to identify overlaps/duplications to ensure efficient processing of subsequent technical reviews.

  • Routing: Once requests have been assessed, you will coordinate their initial routing to the appropriate teams or individuals for further evaluation and action, ensuring that requests are directed to the right place for timely resolution, following up with the assessors for timely responses.

  • Collaboration: You will work closely with cross-functional teams to gather necessary information, provide updates, and ensure timely resolution of technology requests, fostering effective communication and collaboration across the organization.

  • Process Improvement: You will identify opportunities to optimize and streamline the technology intake process, making recommendations for improvements to enhance efficiency and effectiveness.

  • Documentation: You will maintain accurate records of technology requests, including status updates, resolutions, and any relevant documentation, ensuring that all information is documented and easily accessible.

  • Communication: You will communicate effectively with stakeholders at all levels to provide status updates, gather feedback, and address any concerns related to technology intake, maintaining open lines of communication throughout the process. Chair and facilitate meetings where appropriate and distribute minutes to team members.

  • Training and Support: You will provide guidance and support to users on the technology intake process, offering training and assistance as needed to ensure that requests are submitted correctly and efficiently.

Qualifications & Experiences:

  • HS diploma/equivalent, BS preferred

  • 1-2 years of experience in a related technical field.

  • Experience using computers for a variety of tasks.

  • Competency in Microsoft applications including SharePoint, Word, Excel, and Outlook.

  • Competency in Smartsheet and Lucid

  • Knowledge of technological systems: demonstrate understanding of key technologies, systems, platforms used in the media industry.

  • Strong aptitude for technology and AI solutions with the ability to quickly learn and adapt to new tools and products.

  • Exemplary Communication: Your written and verbal communication skills are top notch. You have excellent attention to detail and proofreading abilities. You are comfortable speaking up in meetings and relaying results of your analysis and other information.

  • Adaptable: You switch effortlessly between these modes adapting yourself to the needs of your work.

  • Self-starter : You are a strong self-starter and therefore comfortable diving into data to complete your analysis and comfortable in sharing and collaborating on your reports
