Summary

As the Manager of Administrative Services and Office Operations, you will be responsible for managing day-to-day office operations and onsite logistics for the Office of the LSA Dean and for coordinating and overseeing administrative support. Reporting to the Chief of Staff, you will supervise and lead a team of seven staff, including six administrative support personnel and an events space coordinator. We seek candidates willing to work onsite, five days per week, from the LSA building in Ann Arbor, MI. The salary range for this position is $75K to $90K. A higher salary may be possible for well-qualified applicants.

Responsibilities*

  • Lead a cross-functional team of administrative support professionals and ensure that academic and administrative leaders in the office of the dean have appropriate administrative and operational support, onsite services, and technology resources; coordinate backup coverage and administrative support for special projects.

  • Promote a positive work environment; supervise seven staff members, including executive assistants, administrative assistants, and an events space coordinator; responsible for the recruitment, training, professional development and overall performance of team members; foster cross-training and ensure that workloads are balanced.

  • Partner closely with the Chief of Staff to manage day-to-day dean's office operations, including staffing, scheduling, budgeting, procurement, facilities and space utilization, data management, and other office functions. Help familiarize personnel with dean's office practices and operational norms.

  • Review administrative and operational processes and identify opportunities to streamline and improve processes, create new ones, and discontinue ones as needed.

  • Develop and implement standard operating procedures related to the storage of and access to electronic records and hard-copy files; conduct an annual audit of our practices for maintaining data to ensure compliance with university and LSA expectations; serve as the implementation lead for the transferal of files to the Bentley Library.

  • Oversee the college's two primary event venues and manage the dean's office's physical spaces, including shared facilities, supply rooms, conference rooms, and the assignment of offices and workstations; serve as the liaison to LSA Facilities; conduct planning and engagement with occupants to help maintain welcoming, comfortable, and accessible work environments.

  • Work closely with the Chief of Staff and other college leaders on building safety planning; serve as a point person for the building incident response team; assist with training and readiness efforts in the event of disruptions or emergencies.

  • Assist with the development of the budget for office operations; develop more sustainable and efficient procurement practices.

  • Manage complex projects, coordinating tasks, resources, participants, changes, and other variables to achieve project goals.

  • Other duties as assigned.

Required Qualifications*

  • Bachelor's degree or an equivalent combination of education and experience

  • At least five years of progressively responsible supervisory experience

  • Experience recruiting, hiring, onboarding, and training employees

  • Experience developing, managing, and implementing operational and/or administrative processes and procedures

  • Experience in and knowledge of administrative support services in an office environment

  • Experience in budgeting, accounting, or equivalent experience

  • Exceptional attention to detail and follow-through on assignments

  • Strong communication and interpersonal skills; demonstrated ability to communicate clearly, concisely, and for various audiences

  • Experience contributing to and supporting an environment focused on diversity, equity, inclusion, and belonging

  • Ability to work with various stakeholders with competing priorities in a climate of openness and transparency, integrity, trust, mutual respect, and collaborative problem-solving

  • Proven ability to maintain the strictest level of confidentiality and use excellent judgment on a variety of sensitive issues.

  • Proficiency with office productivity software and related technology, including the development and use of data for organizational decision-making.

  • Experience using sound inquiry, analysis, experience, and judgment to inform decisions

  • Experience excelling in demanding environments through organization, management of time, and assignments, including regular follow-up to inform colleagues of progress

  • Working knowledge of common process improvement practices

  • Experience managing short-term, low-risk projects involving clear problems or solutions

  • Experience leading a cross-functional team

  • Experience working in a large, decentralized organization
