Job Summary

The Associate Director of Special Programs and Engagement works under the guidance of the Executive Director of Special Programs and Engagement on School-wide events, stakeholder engagement, and special programs for the Isenberg School of Management (ISOM). This position also works closely with Isenberg’s Dean, leadership, and campus-wide stakeholders. The Associate Director is responsible for the planning, coordination, and execution of quality, highly visible, and successful events that enhance impact the ongoing engagement and growth of ISOM constituents.

Essential Functions

  • In collaboration with the Associate Director of Events and Programs and other campus-wide departments, manages events that enhances stakeholder engagement.

  • Responsible for all logistics including budget creation/reconciliation, vendor negotiations, creation, and implementation of event work plans that supports the strategies, initiatives and institutional priorities.

  • Manages or assists with events in collaboration with the Executive Director of Special Programs and Engagement, the Isenberg Dean and other campus-wide stakeholders in developing and executing Dean-level events for the Isenberg School of Management.

  • Negotiates, prepares, manages, and oversees event budgets and logistics as appropriate; including, but not limited to, venue, food/beverage, audio/visual, entertainment, decorations, volunteers, sponsorships, event committee meetings, and on-site event management.

  • Works with campus-wide departments in the planning and execution of all event-related mailings, responses, and post-event follow up.

  • Prepares post-event analyses to assess opportunities, coordinate appropriate follow-up and evaluation, and make recommendations for improvements as appropriate.

  • Writes and disseminates departmental communications in collaboration with Isenberg Marketing and Communications team and others to stakeholders by developing strategic marketing plans, overseeing content development, writing, layout and design, procurement of photos, printing, website details, social media, and mailing.

  • Works with UMass research staff on maintaining and updating Isenberg key constituent records.

  • Plans, organizes, and holds regular meetings and events with individuals within each department apprised of current industry trends; reinforces the department’s status as top tier programs; and maintains industry relationships.

  • Responds to internal and external inquiries.

  • Meets regularly with the Executive Director to discuss the calendar of events and prioritizing.

  • Supervises a Coordinator of Events & Programs.

Other Functions

  • Participates on School-based committees as needed.

  • Supervises student workers to support initiatives as needed.

  • Performs other related duties as assigned.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's degree with two (2) years of work experience in events, marketing, or communications.

  • Fundamental knowledge of print media production.

  • Demonstrated ability to work collaboratively and respectfully with a variety of stakeholders with multiple interests and varying levels of authority to achieve organizational goals.

  • Excellent communication and interpersonal skills, as well as conflict resolution skills

  • Strong organizational skills and administrative aptitude with ability to manage several projects simultaneously.

  • Demonstrated ability to work with office productivity software applications.

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Experience with event management software.

  • Proven experience and comfort with public speaking.

  • Demonstrated experience in print media production.

Physical Demands/Working Conditions

  • Typical office environment.

  • Occasional lifting up to 50 pounds.

Work Schedule

  • Monday – Friday, 8:30 AM - 5:00 PM.

  • Required to work occasional weekends and evening hours.

  • This position has the opportunity for a hybrid work schedule, which is defined by the University as an arrangement where an employee’s work is regularly performed at a location other than the campus workspace for a portion of the week. As this position falls within the Professional Staff Union, it is subject to the terms and conditions of the Professional Staff Union collective bargaining agreement.
