SUMMARY
Under limited supervision, the Senior Coordinator, Exchange Visitor Program executes the daily operations of SHRM’s Exchange Visitor programs, with particular emphasis on supporting U.S. employers with the J-1 visa sponsorship process for trainings and internships, client/participant relationship management, and operational support.
Responsibilities:
Operations
Process J-1 visa sponsorship applications on behalf of U.S. employers.
Serve as an Alternate Responsible Officer for SHRM’s J-1 visa trainee and intern programs.
Process amendment, extension, and separate family applications submitted for sponsored programs.
Manage and maintain records in the online case management system and keep files and systems up-to-date and operational. Provide input on how to make the process more efficient and user friendly for host companies.
Support SHRM’s participant compliance and engagement activities, including responding to participant/client questions, following up on outstanding items as necessary, maintaining up-to-date SEVIS records, participating in site visits and cultural activities, and engaging in monitoring activities as needed.
Ensure that the J-1 visa program materials are maintained and up to date.
Facilitate the J-1 visa invoicing and revenue collection and reporting.
Contribute to J-1 visa-related advocacy efforts to lawmakers and stakeholders and participate in Alliance for International Exchange sponsored events.
Provide operational and implementation support as needed for other SHRM corporate solutions-related products and services.
Client Management
Build relationships and communicate regularly with the key personnel that administer J-1 visa programs at SHRM’s host organizations, including human resource representatives, global mobility specialists, and legal counsels.
Provide support in the onboarding of new host organizations, including answering questions, providing information and documents, responding to phone calls and emails, and serving as the main point of contact for new organizations.
Education & Experience Requirements
Education
- High school diploma or equivalent relevant experience
Experience
Required
At least four (4) years of previous international programming experience, administrative, paralegal, customer service and/or experience related to the cultural exchange field
Prior experience with private sector J-1 visa programs, especially with the trainees/interns, summer work travel, or teacher programs.
Must be a U.S. Citizen
Preferred
Knowledge of SEVIS
Experience in the immigration or legal fields.
Experience with, Netsuite, Salesforce, or other comparable database systems.
Experience living or working abroad.

Demonstrated customer-service and business development skills
Excellent interpersonal skills and ability to communicate and interact with a range of stakeholders, including program participants and representatives from Host Employers.
Attention to detail and ability to effectively handle sensitive candidate and company information.
Proven capacity to coordinate multiple ongoing projects simultaneously and to meet critical client deadlines.
Demonstrated professional ability to work independently, prioritize tasks, and problem-solve.
Flexibility and ability to successfully operate within a team setting.
Superior written and oral communication skills.
Knowledge of Microsoft Suite
Must be available to answer emergency calls outside of normal office hours.
Preferred
- Experience with program participant communication via social media

Physical Requirements
Must be able to perform essential duties satisfactorily with reasonable accommodations.
Work is generally done sitting, talking, hearing, and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
Work environment
Work is regularly performed in a professional office environment and routinely uses standard office equipment.

The hiring range for this position is $58,000 to $68,000 per year. This range is an estimate and the actual salary may vary based on the candidate's experience, skills, and qualifications.
